Problems Faced
General Electric Aero Energy Products needed an archiving solution for the fax documents received from and sent to its customers. While doing this, GEAEP also wanted to centralize the management of internal business documents as well. Documents that were processed within the company included internal business documents as well as documents received from customers. These documents were transferred within the company by using fax machines or by retyping the documents. Also there were complaints from customers who were having problems connecting to the fax lines that were busy most of the time.

Solution Strategy
KETS offered GEAEP a solution, which used Captaris RightFax network fax management suite. The suite provides services for receiving, sending and archiving fax documents over computer networks. Also used in the project were Intel GammaFax intelligent fax cards which were integrated to RightFax Small Business Fax Server. Faxes received by the server are routed to the users within the company through client software being run on their computers, while remote users are e-mailed notifying them of the faxes they have received.
On the other hand, for documents that are on paper media are scanned using Fujitsu document scanners transferring them into the electronic forms. Documents scanned using the scanners are then processed using Abbyy's Fine Reader Optical Character Recognition (OCR) software for them to be converted into electronic forms such as Microsoft Word, Microsoft Excel or Adobe Acrobat. All these procedures can take place within seconds while documents that are not properly recognized by the software can be manually corrected for errors.

Benefits Gained
Using KETS's fax management solution, GEAEP was able to use its workforce more efficiently as a result of the decreased time for receving and sending fax and other paper documents. These documents were also archived automatically allowing users to retrieve old documents much more efficiently.
