KETS Centerops

KETS Centerops is a fax service that runs on the information systems that receive faxes. As the only fax service running on these systems Centerops can receive and route fax documents to the personnel in a specialized department within the organization. Centerops can evaluate CSID and ISDN DID information of the incoming calls to determine the proper route of the documents within a company's related divisions. KETS Centerops can be intefaced with industry standard fax boards like Intel's GammaFax intelligent fax board family. Using such fax boards, multiple lines can be condesed into one high performance line providing higher scalability for the system. Also using such fax boards allows KETS Centerops to utilize the DID digital information for intelligent routing algorithms.

KETS Centerops utilizes IBM's popular content management solution IBM CM - Content Manager family in association with IBM's portal solution EIP - Enterprise Information Portal running on AS/400 and NT platforms. Incoming documents are sorted and stored by the Centerops server on the IBM Content Manager. The utilization of IBM Content Manager provides organizations with reliable, scalable means of storing, accessing and archiving the content received by the company. KETS Centerops creates a unique tracking number for each incoming document on its database tables. This enables KETS Centerops to track documents and to direct certain user queries to this database rather than IBM Content Manager, considerably reducing the usage of IBM Content Manager's resources and providing higher system availability.

The management of Centerops is maintained using KETS Centerops System Management Module. This module allows system administrators to create entities that describe processes, sources, and document flows. It also allows management of other system controls. Using the module, administrators can create workgroups, job queues, workflows and can assign roles, security measures, and relationships to these system elements.

On the client side, KETS has developed a Centerops Client that can connect to the Centerops Server and the IBM Content Manager. Based on their workgroup membership, users can have access to certain tasks that can differ from just viewing documents to modifying documents. Certain users within a workgroup can add or delete attachments to existing documents based on their access levels.

Also, based on their access levels, users can annotate documents providing information for other members within the organization. These annotations are also stored within the system as parts of the documents allowing users easier access to additional information about the documents.

Documents that are processed are routed to the next workgroup that is determined by the Centerops server based on the documents' specifications. Once the documents are processed by all designated workgroups, they are archived into the IBM Content Manager for later retrieval. Users with proper access levels can use KETS Centerops Client for retrieving archived documents from the system.

For documents that arrive to the center in non-electronic forms, KETS Centerops can be interfaced to KETS's own data capturing solution KETS Capture and other packages available inputting these documents into the Centerops system. KETS Capture provides tools for scanning, image enhancing, pre-indexing and transferring of these documents into the system using ISIS compliant document scanners.

KETS Centerops Monitoring tool allows management to view current workload within the organization's levels that differ from the whole center down to the workgroup level. This allows the identification of bottlenecks in the workflows within the center, making instantaneous reassignment of personnel from workgroups with low loads to the troubled workgroups possible, thus increasing the overall efficiency and response time of the center.

KETS Centerops Reporting tool collects data from past system statistics compiling this data into performance reports based on workgroups, branches and other divisions within Finansbank. The tool comes with 20 pre-configured templates that also can be exported to spreadsheet applications like Microsoft Excel allowing further revisions on these reports.
